Excerpt from  ‘Conquer Your Email Today…because there is no tomorrow

In the Harry Potter book series, the irascible Mad Eye Moody admonished young Harry to show “Constant vigilance!”  While constant vigilance is an appropriate response if you have a powerful dark wizard after you, it is not a recommended approach for email management.  In this era of near-constant pinging of email, texts, and instant messages (IMs), it is tempting to feel that you need to be immediately responsive to incoming communications.  There are some jobs for which instantaneous responses may be necessary, but more often the need to respond immediately is assumed or even self-imposed.  Good email maintenance does not mean constant attention to email; it means appropriate attention. How do you define “appropriate” attention?  In most jobs, processing email three to four times a day is sufficient.  However, you may decide to set aside time at the top of every work hour to sort and purge your inbox.
